Lotus Consulting understands that accounting figures, tax files and investment information are sensitive company assets. This policy sets out what we collect, what we use it for, and what rights you have over your data.

1. Scope

This policy covers the website lotus-consulting-service.com and all accounting, tax and investment advisory services Lotus Consulting provides to corporate clients.

2. Information we collect

  • Contact details you provide yourself: name, phone number, email, company name, service of interest and the message you send through the website forms.
  • Operational data created once an engagement starts: accounting vouchers, invoices, bank statements, incorporation documents and employee data required for personal income tax filings.
  • Technical data recorded automatically: IP address, browser type and time of access, used to prevent spam and measure traffic.

3. How we use it

  • To contact you, prepare quotes and provide the service you asked about.
  • To perform accounting work, prepare and submit tax returns, and represent you before the authorities within the scope you authorised.
  • To improve the website and the quality of our services.
  • We do not use your information for any other purpose without your consent.

4. Legal basis

Personal data is processed on the basis of the data subject's consent and the performance of a contract, in compliance with Decree 13/2023/ND-CP on personal data protection, the Law on Cyber Information Security, the Accounting Law and the Law on Tax Administration.

5. Sharing with third parties

Lotus Consulting does not sell, trade or rent client information.

  • Tax authorities, the business registration office and other competent state bodies, limited to filings required by law or a lawful written request.
  • Technical service providers (hosting, email, digital signature) only to the minimum extent needed to operate the service, and under confidentiality obligations.
  • Any other disclosure requires your prior written consent.

6. Storage and security

  • Accounting records are retained for the statutory period (at least 10 years for documents that must be archived under the Accounting Law).
  • Contact details submitted through the website are kept only as long as needed for client care, then deleted or archived.
  • Data is stored on access-controlled servers; only the staff assigned to your file are granted access.
  • All Lotus employees sign confidentiality undertakings; disclosing client information is a serious disciplinary breach.

7. Your rights

  • Ask what information about you we hold and why.
  • Ask us to correct inaccurate or outdated information.
  • Ask us to delete your contact details, except records we are legally required to retain.
  • Withdraw your consent to receive advisory communications at any time.
  • Complain if you believe your data has been handled improperly.
